Getting the group in

Thailand is one of the easiest markets in Asia to bring a group into. Visa exemption covers a long list of nationalities for short business visits, Bangkok has two international airports with wide direct networks, and domestic connections to Phuket, Krabi, Samui and Chiang Mai run all day.

Two things to check against your own delegate list. Whether any passports on it need a visa in advance, which changes your timeline by weeks. And which Bangkok airport your group lands at, because Suvarnabhumi and Don Mueang are an hour apart in traffic and a transfer plan built for the wrong one falls apart on arrival day.

The season, and what it does to your budget

November to February is cool, dry and peak. Prime venues in that window book out early and price like it. March to May is hot. June to October is the green season: lower rates, and rain that arrives in short plannable bursts rather than all day.

The green season is the most underused value window in Southeast Asia. For an indoor conference or a dealer meet in Bangkok, the weather is close to irrelevant and the saving is not.

Events we run in Thailand

Bangkok logistics, which decide your agenda

Bangkok traffic is not a joke you make in the welcome speech. It is a planning input. The distance between a hotel and a venue on a map bears little relation to the time it takes at 8am or 5pm, and a fifteen-kilometre transfer can take ninety minutes.

  • House delegates near the venue. A walkable hotel beats a nicer hotel twenty minutes away, every time.
  • IMPACT is out of town. Muang Thong Thani sits north of the centre. Plan the transfer fleet and the departure window, or use the hotels on site.
  • Never schedule a hard timing after a cross-city transfer. Put the buffer before the session that cannot move.
  • Use the BTS and MRT where the route allows. For a delegate group of 30 with a station at both ends, the train is faster and more reliable than coaches.

Working in Thai

Venue sales teams and hotel management work in English. Crews, drivers, riggers and suppliers do not, and that gap is where a flown-in production team loses control of a build.

Everything that matters gets briefed in Thai: the load-in schedule, the cue sheet, the safety brief, the changeover plan. Contracts get issued in both languages, and the Thai version is the one the crew reads. This is the single largest practical reason to have a local team rather than a coordinator on a laptop in another country.

Multi-leg programmes inside Thailand

Bangkok plus a beach is the most common Thai programme we run. Two nights of conference in the city, a domestic flight, then two or three nights of reward. It works because the internal flights are short, frequent and cheap, and because the two halves of the brief stop competing for the same days.

Book the internal flights before the venues. A group of 200 moving Bangkok to Phuket on a Thursday in January needs seats that exist, and the venue is easier to move than the aircraft.

Permits and lead times

Thai permit lead times run four to six weeks. What you need depends on the venue, the content, amplified sound, alcohol and whether any part of the event sits in a public space. Four things that go wrong in Thailand

The venue was chosen on the photographs. A beach resort with beautiful function space and a ceiling too low for a screen. Send someone to the room, or send us.

The load-in met the traffic. Trucks are restricted on some Bangkok roads at certain hours, and a build scheduled without that knowledge starts hours late. This is a local-knowledge problem with a local-knowledge fix.

The green season was ruled out on principle. A team refuses June to October, pays peak rates in January, and holds an indoor conference the weather could never have touched.

The beach event had no permit. A gala on the sand is a permitted activity, and finding that out in the last fortnight is how a gala becomes a ballroom dinner.
